The Role:
We are seeking a dedicated NDIS Referral and Agreement Management Officer to join our team. Reporting to the National Customer Relationship & Business Development Manager, this role ensures the timely management of referrals, service agreements, quotes, contracts, and participant onboarding.
Your focus will be creating a seamless and professional experience for participants and their families engaging with CSBS.
Key Responsibilities:
Referral & Agreement Management
· Respond to referrals promptly, keeping stakeholders informed.
· Prepare and issue Service Agreements (SAs) and updates for Core and Capacity Building supports nationally.
· Support development of accurate quotes and rosters of care to enable informed choices and sustainable supports.
Participant Onboarding & Documentation:
· Assist with intake paperwork including service agreements, consent forms, collaboration agreements, and support plans.
· Provide information to corporate teams to initiate participant portals.
· Support setup of services, including essential items for independent living.
Data & Compliance Management:
· Maintain participant data (expiry dates, plan usage) across SharePoint, NDIS PACE/My Place, SAGE, and Flow Logic.
· Manage NDIS portals including service bookings and PACE instances.
· Prepare regular and ad-hoc reports for the executive team.
Financial Oversight & Support:
· Work with the Finance Manager to track service agreement expenditure and raise alerts where needed.
· Assist in resolving portal and administration issues including corrections and manual claims.
Operational & Stakeholder Support:
· Respond to queries regarding NDIS agreements in a professional and timely manner.
· Support Operations to ensure services are delivered within plan parameters.
Selection Criteria
Using two pages or less, please provide examples of your experience for each of the following:
1. A relevant qualification in referral management, case management, administration, or contract administration (Cert IV or greater).
2. A working knowledge of the NDIS and tasks involved in administering support to participants, including:
o Developing quotes and budgets (including rosters of care)
o Developing and monitoring service agreements for Core, Capacity Building, and Capital supports
o Informing and completing NDIS claiming in both PACE and My Place portals
o Tracking plan budgets and expenditure
o Developing data reports for plan reviews
3. A working knowledge of support delivery and the customer experience, including:
o Desirable knowledge of service provision and support practices
o Experience engaging with people with disability and their decision makers, and an understanding of personal governance
o Or the ability to understand and manage the above
4. Strong administration and organisational skills, with attention to detail and ability to prioritise competing tasks.
5. Knowledge of Microsoft Office and online systems to produce high-quality documents, reports, and spreadsheets.
6. Demonstrated customer service focus with strong interpersonal and written communication skills to work effectively with a wide range of people, including people with disability and other providers.
About You
To be successful, you will bring:
Minimum 3 years’ experience in accounts, finance, or contract administration (disability/healthcare desirable).
Minimum 2 years’ experience with NDIS administration and portal management.
Strong organisational skills with attention to detail and ability to manage competing priorities.
Excellent interpersonal and written communication skills.
Commitment to inclusion, respect, and positive outcomes for people with disability.
Current NDIS Worker Clearance and Victorian Driver Licence.
